1. Acceptance of Terms

By creating an account on LodgeLink, or by using any part of the LodgeLink platform, you agree to be bound by these Terms and Conditions. If you do not agree to these terms, you must not use LodgeLink.

These terms apply to all users of LodgeLink, including lodge organisers, Worshipful Masters, lodge members and hall administrators.

LodgeLink is an independent platform and is not affiliated with or endorsed by the United Grand Lodge of England.

2. Description of Service

LodgeLink is a software platform that enables Masonic lodges to manage their festive board dinners. The platform provides tools for:

• Creating and managing dining events
• Inviting lodge members and guests
• Collecting menu choices and dietary requirements
• Managing table plans and seating arrangements
• Collecting ticket payments online via Stripe
• Sending event communications and notifications

LodgeLink is a software service only. We do not organise, host or take responsibility for the events themselves.

3. Account Registration

To use LodgeLink, you must create an account with a valid email address and password. You are responsible for:

• Keeping your login credentials secure and confidential.
• All activity that occurs under your account.
• Notifying us immediately at hello@lodgelink.co.uk if you suspect unauthorised access to your account.

You must provide accurate information when registering. We reserve the right to suspend or terminate accounts where information is found to be false or misleading.

4. Subscription Plans and Pricing

LodgeLink is offered on the following subscription plans:

• Occasional — £99 per year
  Suitable for lodges that meet infrequently. Limited to up to 6 events per year. All core features included.
• Regular Monthly — £29 per month
  Unlimited events. Full access to all features. Cancel at any time.
• Regular Annual — £290 per year
  Unlimited events. Full access to all features. Equivalent to saving two months compared to the monthly plan.

All prices are inclusive of VAT where applicable. Subscriptions are billed in advance. We reserve the right to update pricing with reasonable notice to existing subscribers.

In addition to the subscription fee, a platform fee of 50p per ticket is charged at the point of payment. This fee is deducted automatically from each ticket transaction and covers payment processing infrastructure.

5. Founding Lodge Programme

The first five lodges to register on LodgeLink are invited to join the Founding Lodge Programme. Founding Lodges receive:

• Six months of free access to all LodgeLink features.
• A permanent Founding Lodge badge displayed within the platform.

In return, Founding Lodges agree to provide honest feedback to help us improve the platform and, where willing, a testimonial for use in our marketing materials.

After the six-month free period, Founding Lodges will be invited to continue on a standard subscription plan. No card details are required to claim a Founding Lodge place.

6. Payments and Stripe Connect

LodgeLink uses Stripe to process all card payments. To receive payments from members, a lodge must connect a bank account through the Stripe Connect onboarding process within Lodge Settings.

When a member pays for a ticket:

• The ticket price is paid directly to the lodge's connected Stripe account.
• A platform fee of 50p per ticket is retained by LodgeLink as an application fee.
• Standard Stripe processing fees also apply.

LodgeLink is not responsible for delays in payouts, disputes, refunds or other payment issues beyond our control. All payment disputes are handled through Stripe's standard processes.

By connecting a bank account through Stripe Connect, lodges agree to Stripe's Connected Account Agreement.

7. Acceptable Use

You agree to use LodgeLink only for its intended purpose of managing Masonic dining events. You must not:

• Use the platform for any unlawful purpose.
• Upload or transmit any content that is defamatory, offensive or abusive.
• Attempt to gain unauthorised access to any part of the platform or to other users' accounts.
• Use the platform to send unsolicited communications.
• Interfere with or disrupt the platform's infrastructure.

We reserve the right to suspend or terminate accounts that breach these conditions, without notice where necessary.

8. Data and Privacy

Your use of LodgeLink is subject to our Privacy Policy, which explains how we collect, use and protect your personal data.

Lodge organisers and Worshipful Masters who use LodgeLink to manage member data do so as data controllers in respect of their lodge members. LodgeLink acts as a data processor on their behalf. Organisers are responsible for ensuring they have appropriate grounds to process member data within the platform.

9. Intellectual Property

The LodgeLink name, logo, platform design and all associated software are the intellectual property of LodgeLink. The LodgeLink name and logo are trademarks of LodgeLink.

You may not reproduce, distribute or create derivative works from any part of LodgeLink without our prior written consent.

Content you upload to LodgeLink (such as lodge names, event details and menu information) remains your property. By uploading it, you grant LodgeLink a limited licence to use it solely for the purpose of providing the service to you.

10. Limitation of Liability

To the fullest extent permitted by law:

• LodgeLink is provided on an "as is" basis. We make no warranties as to uninterrupted availability, error-free operation or fitness for any particular purpose.
• We shall not be liable for any indirect, incidental or consequential losses arising from your use of the platform, including loss of data, loss of revenue or reputational damage.
• Our total liability to you in connection with these terms shall not exceed the amount you have paid to LodgeLink in the 12 months preceding the claim.

Nothing in these terms excludes or limits our liability for death or personal injury caused by negligence, fraud or any other liability that cannot be excluded by law.

11. Termination

You may cancel your LodgeLink subscription at any time. Cancellation takes effect at the end of the current billing period. No refunds are issued for unused portions of a subscription period.

We may suspend or terminate your account if you breach these Terms and Conditions, if you fail to pay subscription fees, or if we decide to discontinue the service, in which case we will provide reasonable notice.

12. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

13. Changes to These Terms

We may update these Terms and Conditions from time to time. Where changes are material, we will notify you by email before the changes take effect. Your continued use of LodgeLink after that date constitutes your acceptance of the updated terms.
